I forgot to follow up on a deal worth 5,000 dollars. That error taught me that I should have a more powerful system of tracking my clients and deals. In case you are interested in an effective, easy way to control your customers, deals, and sales funnel, this system is worth trying. Using a Notion CRM template designed for real business workflows, I’ve created a streamlined way to organize and prioritize my sales process.
I am going to give you a guide on how to create and use this Notion Sales CRM, so you can always keep your relationships with clients and will never miss an opportunity again.

Getting Started with the Simple Business CRM Template
When you first access the dashboard, the quick add section is located at the top of the dashboard and this is where you will enter new data. This is how to take information when a new lead or company contacts you:
New Company Button: Enter the company name and location.
New Contact Button: Add a client or team member associated with that company. Be sure to link the contact to their company.
Complete Contact Details: Fill out key information such as pipeline stage, last contact date, expected close date, and deal value. This gives you a snapshot of the opportunity’s potential worth.
New Important Client Button: For high-value or priority clients, use this button to automatically set their priority to “high,” so they stand out in your growing list.
New Notes Button: After meetings or calls, quickly record notes linked to the person involved. This helps you remember important details for follow-ups.

Centralized Contact Management
After adding contacts and companies, all of it is visible on the contact list section. You will be able to switch between individual people and companies views, providing a central point to maintain individual and organizational relationships.

Active Contacts and Priorities
On the left hand side of the dashboard, there is a list of your active contacts. Every contact has a priority label attached to it and you will know who requires immediate attention and who can be followed up later. This visual priority system assists you in utilizing your time.

Managing Your Most Important Clients
The right side of the dashboard belongs to your most important clients. This filtered view shows high priority contacts or clients with deals that have greatest potential value. It is easy to see such information as the pipeline stage, the estimated deal value, the last contact date, and the expected close date.
In case a deal is not progressing, you may enter it as inactive in the priority field. This conceals the contact on your main dashboard so that you can focus on active opportunities.

Visualizing Your Sales Process with the CRM Pipeline
My favorite part of this system is the CRM pipeline section. It shows all your active deals organized visually by stage and priority:
Columns: Represent each stage in your sales process, moving from left (early stages) to right (closing).
Rows: Show priority levels from high at the top to low at the bottom.
Deal Cards: Each deal appears as a card displaying the contact’s name, their company, and the estimated deal value.
When you are working with a client, you can just drag their card through stages. When priorities change, drag the card up or down to change it. This drag and drop interface is very simple to use and allows you to get an overview of where each opportunity is.

Additional Features and Customization
The side navigation bar offers many more features to explore and customize your CRM. For those interested in a more advanced setup, I recommend checking out my Relationship Tracker template, which includes birthday reminders, event tracking, and even a gift budget planner, perfect for nurturing long-term client relationships.
